A simple lead follow-up process for a small business

You do not need a complicated sales system to stop losing track of conversations. Start by making it clear who owns each inquiry, what should happen next, and when someone will follow up.

1. Pick one place to keep the record

An inbox can start a conversation, but it is easy to lose the next step there. Choose one shared place for active opportunities. A CRM can help; a simple shared list may be enough while you work out the process. Record the contact, what they asked for, where they came from, and the person responsible.

2. Give each inquiry an owner

When everyone is responsible, an inquiry can sit untouched. Assign one person to respond and keep the record current. Decide who covers that work when the usual owner is away. The owner does not have to do every task, but they should know what is happening.

3. Make the next step specific

“Follow up” is vague. “Send the requested options on Thursday” is something a person can act on. After a conversation, record the action, its owner, and the date. If you are waiting for information from the prospect, write down what you need and when it makes sense to check back.

4. Keep the message useful

A follow-up should help the person make a decision. Answer an open question, clarify the scope, or offer a sensible next conversation. Use a message outline if it helps, but adapt it to what the person actually asked. Respect a request to stop and use channels they have agreed to.

5. Review the open list together

Set a regular time to look at active opportunities. Which ones have no next action? Which are waiting on your team? Which should be closed because the timing or fit is wrong? A smaller, accurate list is more useful than a long list no one trusts.

6. Automate only the repeatable parts

Once the process works, consider reminders, task assignment, or moving information between tools. Keep an owner for exceptions and failed handoffs. An automated task is only useful if someone notices it and knows what to do.
